Project Overview
The Challenge
PreceptorLink has been connecting nurse practitioner students with preceptors (clinical teachers) since 2010, operating at the intersection of healthcare, education, and professional matching. But their processes were largely manual — phone calls, spreadsheets, and email chains to coordinate placements across the country.
They needed a single, customer-centric web platform that would streamline the experience for three distinct user groups: students searching for clinical placements, preceptors offering their expertise, and internal staff managing the entire matching operation. Each group had fundamentally different workflows, but all needed to work within one cohesive system.
The Solution
We started with deep discovery — several workshops and over a dozen work sessions with PreceptorLink's staff and their users to map out every workflow and pain point. This research-first approach was critical because healthcare matching involves regulatory requirements, credential verification, and complex scheduling that can't be simplified without understanding the full picture.
From that foundation, we built three interconnected portals:
- Student portal — pre-screened students can search for preceptors by specialty, location, and availability, then apply for clinical placements with all required credentials verified upfront
- Preceptor portal — clinical teachers manage their availability, review student applications, and track their teaching hours and compensation
- Staff CRM — the internal team gets a powerful dashboard to oversee all matches, manage user accounts, handle exceptions, and generate reports for compliance
The platform includes a custom matching algorithm that considers specialty requirements, geographic proximity, scheduling constraints, and credential compatibility to surface the best possible matches.
The Results
The digital transformation replaced PreceptorLink's manual processes with a platform serving over 100,000 users. What used to take days of phone calls and coordination now happens in minutes through the matching system.
We approached the project holistically — from bespoke branding and interface design to the final development and deployment. Each prototype was brought up to a market-ready standard, ensuring the platform feels professional and trustworthy in a healthcare context where credibility matters.
